AI agents

Your back office, on autopilot.

Four AI agents watch your routes, inbox and books around the clock. They do the routine work on their own and ask before anything you’d want to see first. You get your evenings back; your customers get answers in minutes.

The team

Four agents, one job each.

Each agent can be off, ask first, or on autopilot. Start with ask first; flip to autopilot once you trust it.

Dispatcher

Keeps the schedule full and the trucks efficient.

  • Books due filter cleans on each customer’s regular day, so there’s no extra drive
  • Accepts partner jobs and confirms customer bookings
  • Re-orders tomorrow’s routes to cut drive time

Bookkeeper

Bills every job, collects every dollar, keeps the books clean.

  • Drafts the monthly service invoices and bills finished repairs
  • Sends invoices, charges autopay and chases overdue balances
  • Categorizes the bank feed, matches deposits and syncs QuickBooks

Office manager

Answers customers so you don’t have to.

  • Drafts replies to portal questions
  • Handles routine requests from the inbox
  • Hands anything unusual to you with the context attached

Growth

Finds and wins new pools.

  • Sends the new-permit sequence each morning
  • Wins back customers who left
  • Offers equipment checks before old units fail

How it works

They find the work. You decide how much they do.

  • Every 15 minutes the agents look at your routes, inbox, invoices and bank feed.
  • Routine work on autopilot gets done and logged: “Booked 9 filter cleans ($2,350).”
  • Anything that needs you lands in one queue. Approve it with a tap, or skip it.
  • Or just ask: press ⌘K and type “who owes us money?” or “catch up on everything.”

While you were out

Agents finished 10 tasks overnight. 4 need your OK, worth $4,450. $10,165 collected this month; $2,515 overdue across 12 invoices.

Guardrails you can explain to a customer.

Agents never create or change visit times; those come only from the truck’s GPS. They can’t spend more than the limit you set. Every action is logged with who approved it, and anything an agent can do, your Claude or ChatGPT can do through the same tools with the same rules.

What it costs

On Core, the agents are free in ask-first mode: they find the work and you approve it. Autopilot is part of Pro, priced by pool count. Heavy AI work (drafting a campaign, analyzing a call) uses a few Pool Space Credits; everyday agent work doesn’t.

Agent questions

Will an agent message my customers without asking?

Only if you put that agent on autopilot. New accounts start with the office manager and growth agents on ask first, so every customer message waits for your OK.

Can it mess up my books?

The bookkeeper only books what the bank feed and your invoices show, in the categories you set, and you can close a month to lock it. It posts to QuickBooks so your accountant sees the same numbers.

Does it work with Claude?

Yes. Connect Claude or ChatGPT and they use the same tools as the agents: list what’s waiting, approve it, or ask anything about your company.

What if I just want software?

Turn the agents off. Every screen still works by hand, on your phone, tablet or computer.

Let the agents take the paperwork.
